The Senior Operations Coordinator will be an integral part of our New York team and will also work with the larger global HR/Ops team. This opportunity offers the chance to work across teams on a variety of initiatives and special projects in HR, Operations, Programs, and Events.  

The ideal candidate will be a self-starter, who is comfortable working autonomously and as part of a remote team. This candidate will also be workplace culture-focused, bringing enthusiasm to the office environment and offering up new ideas and programs. Our ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner.

About the Role

The Senior Operations Coordinator role will sit in the Operations team in North America. This is a new role, designed to support the Operations Manager in the execution of day-to-day administrative delivery for Climate Group North America. This role is a part-time role to start but intended to scale to full time at the end of the fiscal year (June 2025).

​The role will be split primarily between HR, Executive Management, and general administrative support of the US team.

Key Responsibilities:  ​

Human Resources (35%)

- Management of our HR systems including our PEO, Insperity, and PeopleHR:

Staying up-to-date on regulatory changes impacting HR

Bi-monthly payroll processing

Onboarding and offboarding new team members

Ensuring proper adoption of HR tools, such as PeopleHR

- Collaborate with the central HR department in the UK on HR initiatives including:

Pay & performance

Adapting policies and procedures from the Central HR team in London to the US, where appropriate

Sharing the US perspective on HR initiatives led by the Central HR team in London.

- Maintain the Staff Handbook and policies

- Assist with recruitment efforts; conduct new-employee onboarding/orientation/training of new staff members

- Organize and maintain personnel records and manage HR documents (e.g., employment records and onboarding guides) and updating internal databases

Team Coordination & Operations (40%)

- Act as the point of contact for team-related inquiries

- Manage the relationship with US team suppliers, such as WeWork

- Assist in booking travel and accommodation for team travel

- Coordinate the purchase of any equipment requests

- Lead on developing a strong team culture by managing team meetings, assisting in quarterly team meet-ups, creating social opportunities

- Perform basic finance tasks, such as managing monthly credit card receipts and ensuring timesheets are entered regularly

- Assist in the execution of grants – act as a bridge between Fundraising, Finance, and Operations teams

- Manage our internal information system, SharePoint; maintain and upload documents; act as point of contact; create organizational systems to ensure information can be easily accessed

- Lend administrative support to the delivery of US events or projects as needed​

Executive Support (25%)

- Contribute to the development of materials for meetings

- Act as a point of contact for the US Board of Directors – liaise with Director’s teams to coordinate scheduling and meeting materials.

The right candidate for this role is comfortable working remotely and is excited to directly contribute to the success of a small and agile team. An ability to self-direct and to work independently is useful, as the Operations team is spread across different regions. This role requires excellent written and verbal communications skills and a sensitivity to the different ways of working across our North America and global teams. In addition, the right candidate for this role should have:

Location

Our people are based remotely with the ability to access co-working spaces local to them. Our main base is in NYC, but we are willing to consider candidates in Washington, DC or other areas in the Northeast. An ability and willingness to travel into New York regularly is required.

The role will require occasional international travel.

This is a permanent position, starting at 24 hours per week. The hours may be performed over three days or spread out across five days.

The salary offered is $66,000 to $73,000 per annum, prorated to part-time, based on experience.The salary range stated is for New York City. Our salary rates reflect the local market and depending on your location, a local salary rate will be applied.
