Since 1981, Ronald McDonald House Charities (RMHC) Toronto has served as a place to call home for families with seriously ill children undergoing treatment. RMHC Toronto encompasses a House for 81 families in downtown Toronto and seven Family Rooms in hospitals across the Greater Toronto Area and in Sudbury. The families we serve come from throughout Ontario, across Canada and around the world.
We are looking for a Donor Database Coordinator to join our team in Toronto.
About the Opportunity
Reporting to the Director, Finance, the Donor Database Coordinator is responsible for processing incoming donations through various methods, preparing reports, generating charitable tax receipts and thank you letters on a timely basis. The Donor Database Coordinator is responsible for responding to internal and external enquiries related to gifts, tax receipts and changes to donor information.
Key Accountabilities
· Process donations in compliance with policies, procedures, charitable tax law and CRA guidelines, keeping up to date on any changes
· Ensure the data integrity of incoming donations ensuring they are processed and acknowledged in a timely manner within agreed upon organizational standards
· Ensure proper back-up documentation is obtained for all incoming donations
· Generate charitable tax receipts and thank you letters appropriate to the donation; as well as update and upload any new tax receipt letter templates.
· Enter and review donor data for accuracy and completeness.
· Create, review, and update donations processing process documents along with training any staff that are involved in the process.
· Assist and provide input in the creation of all business rules that involve donations processing.
· Support data and report requests, including segmented direct mail lists, eblast lists, Annual Report lists, donor recognition and invitation lists.
· Monthly and ad hoc report development to track the effectiveness of major gift fundraising and the moves management cycle.
· Perform database maintenance and create audits for the database, to ensure data integrity and accurate reporting / analytics
· Respond to internal and external inquiries to process donations, issuing tax receipts and gift acknowledgements, and updating donor information
· Coordinate with donors regarding expired/declined credit cards and NSF payments and update information as available
· Perform bank reconciliations with database gift entry and posts gifts into accounting database.
· Work with the Marketing & Communications team to create and maintain online donation pages, including troubleshooting when problems arise.
· Assist in accounts payable processing
· Maintain donor and RMHC Toronto confidentiality and privacy at all times
· Performs other duties, as required.
Qualifications
Education & Experience
· Minimum of one (1) to three (3) years’ experience in gift processing and database management including designing reports and queries. Experience in a similar charity or not-for-profit organization is an asset.
· Raiser’s Edge database management certification preferred.
· Bachelor’s degree in business administration, related field or equivalent preferred.
Knowledge, Skills & Abilities
· Strong understanding of Canada Revenue Agency tax receipting rules and guidelines.
· Working knowledge of prospect research and moves management protocols.
· Advanced skills with Blackbaud Raiser’s Edge (database view & NXT), Blackbaud Net Community for Raiser’s Edge & Crystal Reports or similar fundraising software.
· Good knowledge and skills with donation platforms (i.e. Luminate, Classy, Raisin, Engaging Networks, etc.).
· Strong proficiency with Microsoft Office Suite and Crystal Reports.
· Accurate and detail oriented
· Strong organizational skills, with the ability to manage multiple deliverables in a time-sensitive environment and adapt to frequently changing priorities.
· Excellent verbal and written communication skills, with the ability to effectively present and clarify concerns and concepts to various audiences.
· Strong interpersonal skills and proven ability to build and maintain positive working relationships and work in a team-based environment.
· Effective problem solver with initiative to be innovative and creative with solutions
· Ability to maintain confidentiality with donor data and data integrity
· Performs other duties, as required.
