Position Summary

The Office Administrator for Operations requires extensive experience with CMMS programs, managing work orders, inspections, and compliance tracking. It involves collaborating with Legal and Finance to handle vendor setup, payments, insurance, and contract renewals, while assisting department leaders in maintaining capital and operating budgets. The position also supports compliance with local and state regulations, manages safety training and corporate compliance through web-based systems, and generates staffing reports. Additional responsibilities include creating purchase orders, maintaining department contact lists, overseeing communication devices, managing office supplies, and serving as project manager for special projects, among other tasks.

Essential Duties & Responsibilities

  • Experience in maintaining and being an admin of a CMMS program including Work orders, inspections, and compliance tracking.
  • Work with Legal and Finance on vendor set up, payment, insurance, contract renewal, policies and procedures.
  • Assist department Directors and Vice President in creating and maintaining both capital and operating budgets.
  • Help with Compliance for City, County, and state regulations including permits.
  • Assist in safety coordination for department including trainings. Maintain corporate compliance on web based system.
  • Work with timekeeping systems to create weekly staffing reports for department Manager and Directors.
  • Create Purchase Orders for the department.
  • Maintain department contact list.
  • Act as project manager for special projects.
  • Oversee communication devices for the department.
  • Oversee office area, ordering supplies, snacks, organize, and general upkeep.
  • Other duties as assigned.

Required Experience & Qualifications

  • Experience working in facility operations.
  • Working with service contractors for tracking, scheduling, ensure requirements are met.
  • Computer skills working with Microsoft products and a CMMS system.
  • Must be adaptable with the ability to work under pressure to meet deadlines.
  • Strong verbal and written communication skills, with an expert ability to present and communicate new ideas and concepts.
  • Extremely organized and detail oriented, resourceful, quick learner and able to handle multiple projects simultaneously.
  • Exceptional experience in leading, motivating and developing employees
  • A high degree of personal integrity and consistently put the interests of the organization first.
  • Must be a fierce communicator and cross-organizational collaborator.

Preferred Experience & Qualifications:

  • 3 years’ experience with large-scale Facilities operations

Working Conditions

  • Minimal Travel (<10% travel): May be required to travel. Trips may require air travel and/or overnight stay away from home for one or more nights.
  • Must be able to work normal business hours. Occasionally nights and weekends.
  • Frequent bending, lifting 15-20 pounds, sitting, exposure to multiple external elements, extensive walking through the building

Compensation

  • In accordance with the Washington State Equal Pay and Opportunity Act, the expected pay range for this position is $25.00 - $35.00/hr
  • This role is full-time, non-exempt and eligible for overtime pay
