About the All Stars Project

The All Stars Project is changing the national dialogue about how to meaningfully impact the lives of people growing up and living in poverty, and the role that “outside-of-school” plays in preparing underserved youth for success in their lives. At All Stars, inner-city youth participate in hip-hop talent shows, leadership training in partnership with the business community, an internationally award-winning police-community relations program, and more. We have transformed our unique, community-based and grassroots programs, founded in NYC in 1981, into a growing movement reaching 20,000 underserved youth and families each year in 7 cities, and raising $11 million annually in private funding.

Job Summary

The Program Coordinator, All Stars Project of New York (ASPNY) reports to the Program Manager, ASPNY, and is an essential member of the program team that produces the Development School for Youth (DSY) and its summer internship program; youth performance workshops, including Operation Conversation: Cops & Kids and other performance activities and productions. This position is responsible for supporting and conducting program outreach to schools and community organizations, communicating with young people in ASP programs, tracking all program data, and participating in volunteer activities that are designed to extend the impact of the ASPNY youth programs in NYC. In addition, this position supports the ASPNY team with communications, event production, and cultivation.

The position is a hybrid role and requires some in-person attendance in the ASP New York regional office as well as some weekend and evening availability.

Key Responsibilities

Program Coordination and Outreach

  • Maintain the databases for all programs and activities, tracking attendance and program requirements
  • Coordinate ASP’s youth programs admissions process, including producing student interviews and maintaining accurate information in the database
  • Recruit volunteers/DSY alumni to support all areas of the programs
  • Produce program events, including DSY orientations, graduations, receptions, meetings, and weekly DSY workshops and youth performance workshops.
  • Organize community outreach and activities such as summer “street outreach performances” to meet new program participants, donors, and volunteers for ASPNY
  • Support the production of ASPNY community gatherings and engagements
  • Set up and conduct site visits for and staff police community relations workshops, including Operation Conversation: Cops & Kids (OCCK)
  • Participate in recruiting and onboarding volunteers to conduct outreach, phone shifts, and events

Event and Activity Production

  • Act as point person for and conduct timely program-related questions or communications with young people in ASPNY programs, for example, responding when they are unsure of where to go or other timely inquiries.
  • Coordinate space use and staffing plans with the operations department for all events held at ASP and with appropriate representatives for off-site events and workshops
  • Serve as point person at off-site workshops, i.e., arriving early, ensuring professional production of workshops, greeting students and volunteers, liaising with workshop leaders, etc.
  • Serve as point-person and Zoom host for virtual workshops and events, setting up Zoom invitation
  • Coordinate multiple and varied production aspects of all ASP program events for other program initiatives, including but not limited to pre-event administration and day-of production
  • Assist with preparing correspondence and other communications and maintaining tracking documents relative to the DSY Internship program
  • Recruit and schedule youth for various ASP events and functions

Administration

  • Coordinate multiple, varied production aspects of ASPNY programs and events, including but not limited to database information management, pre-event production administration, post-production reporting and tracking, etc.
  • Manage data input team and database information management for the DSY database
  • Track attendance at youth performance workshops and activities
  • Create and disseminate written, verbal, and scripted communication with various constituents, including program participants, program associates, volunteers, and business partners
  • Respond to other requests of the Director of Youth Programs and Program Manager

Qualifications

  • 3+ years of relevant experience
  • Understanding of poverty-related issues and a commitment to creating educational and developmental opportunities for underserved youth in outside of school contexts
  • Strong, proactive team player
  • Ability to clearly articulate the All Stars’ mission and strategies to a broad range of people
  • Strong verbal and written communication skills
  • Superb administrative skills, including use of MS Word, Excel, PowerPoint, and Outlook
  • Community organizing skills and demonstrated ability to lead outreach work in poor communities
  • Flexibility in schedule; evenings and some weekends required for workshops, phone shifts, special events, and other activities
  • Strong connection to New York City community preferred
  • Bachelor’s degree or equivalent experience preferred
  • Experience with Canva and other design software preferred
  • Experience with Zoom, Microsoft Teams, and other video conferencing platforms preferred
  • Experience with Airtable and other database programs preferred
  • Ability to occasionally lift up to 10 pounds, carry, or move objects to set up for meetings, events, workshops, etc.
  • Ability to speak fluent Spanish a plus.
