The Operations Associate role is a supportive-and-developmental role on the Operations Team that operationally supports firmwide functions. The Associate has clear ownership over day-to-day processes and can execute projects from beginning to end in a timely fashion. The Associate should be proficient in using all systems in the Align Tech Stack and able to provide input that improves and enhances systems infrastructure.

About the Role

The Operations Associate plays a key role in supporting the Operations team by managing essential operational processes, administrative execution, and workflow coordination. This role ensures that key recurring workflows run smoothly, supports process enhancements, and enables operational efficiency by maintaining documentation and facilitating team coordination. The Operations Associate is highly organized, detail-oriented, and proactive in executing and improving processes that enhance the firm’s overall operations.

Key Responsibilities

  • Own and execute recurring operational processes – Take ownership of key workflows, ensuring timely and accurate completion while identifying areas for improvement.
  • Process capital calls and subscription documents – Review, process, and maintain accurate records of capital calls, subscription documents, and investor paperwork.
  • Support administrative tasks and documentation management – Prepare, send, track, and file documents, including DocuSign forms.
  • Facilitate client account processes – Assist with client onboarding, account openings, money movement requests, and custodial documentation.
  • Contribute to process improvement initiatives – Identify inefficiencies in workflows, provide input on operational enhancements, and support implementation of process improvements.
  • Coordinate internal workflows across teams – Ensure smooth communication between departments, tracking operational tasks and deadlines to maintain efficiency.
  • Maintain organizational consistency and compliance – Ensure adherence to established operational procedures, document changes, and support compliance needs.

Qualifications

  • 1–3 years of experience in administrative support, operations, or financial services, with emphasis on alternative investment tasks such as capital calls and subscription document processing.
  • Strong organizational skills and ability to manage multiple tasks efficiently.
  • Detail-oriented and process-driven, ensuring accuracy in execution and documentation..
  • Strong task execution skills, with the ability to manage recurring workflows and administrative responsibilities effectively.
  • Effective communication skills, ensuring smooth coordination across teams.
  • Ability to contribute to process enhancements and identify areas for efficiency improvements.
  • Experience with CRM systems, document management tools, and financial operations platforms (preferred).
