Today, Vital Voices has a staff of nearly 100 headquartered in Washington, DC. In the coming years we have a bold vision to dramatically scale our impact. Summary

The Events Coordinator will work directly under the supervision and guidance of the Director of Events, Sherene Joseph. This position will be responsible for working collaboratively across Vital Voices departments and affiliated networks to facilitate internal and external events. This role demands exceptional attention to detail, strong communication skills, and creativity, combined with a solid background in project management. This position is based in Washington, DC with the option of a hybrid work schedule. We are not accepting remote candidates at this time.  

Additional responsibilities include:

  • Event Coordination: Assist with key stakeholders to develop program content and schedule, manage contracts with vendors, reserve venue space (internally & externally), maintain event management system and contact lists.
  • Event Logistics: Meet vendors for arrival, manage set up and breakdown, run point-of-show for event logistics, partner with Operations & Tech to ensure working AV.
  • Project Management: Maintain a public facing events calendar, manage the external facing email address associated with the Events team, ensure all department and cross-department tasks are accurate in our project management system, and create new processes to ensure that the department is running efficiently
  • External Representative: Maintain events department relationships with internal and external groups on an ongoing basis throughout the year, including but not limited to partners such as the city of DC, longstanding clients, board and donors, and more
  • Intern Management: Manage and guide department interns in their roles and responsibilities while also serving as a mentor  
  • Administrative Role: Manage reconciliation of budgets, credit cards and expense reports for the department, and coordinate all department related trainings and external facing contracts
  • Other duties as assigned.  

Professional Qualifications: 

  • Bachelor’s degree in international relations or a related field, plus 2-4 years of relevant work experience required, OR Graduate degree in in international relations or a related field, plus 2-3 years of work experience required;
  • Strong demonstrated experience in global women’s issues, refugee issues, and human rights preferred; 
  • Established experience in event management and production required;
  • Excellent oral and written communications skills in English;
  • Ability to prioritize tasks, swiftly shift priorities, and work in a dynamic environment with tight deadlines;
  • Ability to work independently and as part of a dynamic team;
  • Strong computer skills including MS Office applications (esp. Excel, Word, and PowerPoint), social networking tools, and database software (i.e., Salesforce, Asana).
  • Experience working cross-functionally to support key objectives and to help team members  

Salary & Benefits

The starting salary range for this position is $64,600 - $85,700 based on experience and ability to have broad impact early.

Location

This position is a full-time exempt hybrid position based in Washington, DC with two days of required in person attendance at the Vital Voices Headquarters. Due to the nature of events, flexibility to work occasional nights, weekends and additional “in office” days is required for this role. If and when it is safe to travel, domestic and international travel up to 15% may be required for the position.
